Quoting vs estimating: the difference that costs builders

Confusing a rough estimate with a firm quote is a fast way to lose money and trust.

The Builder Times Newsroom·6 July 2026

Two very different things

An estimate is an educated approximation of likely cost. A quote is a firm price you commit to. Builders who blur the two — giving a casual 'estimate' that the client hears as a fixed price — set themselves up for conflict and lost margin.

Manage the expectation

If you're giving a ballpark early in a project, say so clearly and explain what could move the number. When you provide a firm quote, make the scope and assumptions explicit so both sides know exactly what's included.

Detail protects you

A good quote lists inclusions, exclusions, provisional sums and assumptions. The more clearly the scope is defined, the harder it is for a job to drift into unpriced work — and the easier it is to justify a variation when the scope genuinely changes.

Words matter

Simply being disciplined about the words 'estimate' and 'quote' — and what each commits you to — prevents a surprising amount of pain.
